Going away for vacation or leaving the office unattended shouldn't stress you out. That's why OnSIP designed voicemail greeting setup to take only a handful of steps.
In this blog post, we'll cover how to set up several voicemail greetings: a name recording for your voicemail box, a default greeting, and a temporary (for holidays and vacations) greeting.
Name Recording
A name recording is the most basic way to personalize your voicemail box. It inserts your name into the default unavailable greeting: “The person at mailbox [four-digit voicemail box number] is unavailable. Please leave your message after the tone. When done, hang up or press the pound key.”
Here's how to enable it:
- Dial *98 on your OnSIP-registered phone.
- Enter your voicemail box number.
- Enter the PIN/password for your voicemail box.
- Press 0 for voicemail box options.
- Press 2 to record your name.
Default Unavailable Greeting
The unavailable message is the standard greeting callers hear when they reach your voicemail box. It is the greeting that you can use consistently throughout the work year.
Generally, these greetings should be brief for an individual. State your name and a query for the caller's information. You can also include a backup number for people to reach you if you like. For an organization, it's a good idea to announce your standard office hours.
To create your unavailable voicemail greeting:
- Dial *98 on your OnSIP-registered phone.
- Enter your voicemail box number.
- Enter the PIN/password for your voicemail box.
- Press 0 for voicemail box options.
- Press 1 for unavailable greeting.
Please note that if you record an unavailable greeting, it will be used instead of the default message with your name recording.
You can also upload an unavailable greeting using the OnSIP app. After logging in, click on the Voicemail Settings gear icon at the far right. Make sure that the Custom Greeting is toggled to "on." You will then see an option to upload a .wav file of your choice. This recording will serve as your unavailable message.
Temporary Voicemail Greeting
A temporary greeting is something you record when you're in need of an interim message—like when you’re on vacation or out for the holidays.
To set up a temporary greeting:
- Dial *98 on your OnSIP-registered phone.
- Enter your voicemail box number.
- Enter the PIN/password for your voicemail box.
- Press 0 for voicemail box options.
- Press 3 to record your temporary message.
How to Delete Your Business Voicemail Greetings
You can also erase any of your existing recordings associated with your voicemail box. To delete your name recording, unavailable greeting, or temporary greeting:
- Dial *98 on your OnSIP-registered phone.
- Enter your voicemail box number.
- Enter the PIN/password for your voicemail box.
- Press 0 for voicemail box options.
- Press 1 for unavailable greeting, 2 for your name, or 3 for temporary greeting.
- Press 2 to delete the existing recording on file.
You cannot retrieve deleted recordings once you have erased them.
